Payment & Billing Policy

How we quote, invoice and take payment for projects and monthly services, and which Devibi company bills you. Last updated 26 October 2026.

1. Which company bills you

Devibi is a brand used by two companies that operate side by side. The company that contracts with you is the company that bills you:

  • DEVIBI LTD, a private limited company registered in Northern Ireland, United Kingdom (company number NI734127), incorporated on 6 October 2025, contracts with and bills clients in the United Kingdom and Europe. Its registered office, which is not an office open to visitors, is 54 Brownlow Terrace, Lurgan, Craigavon, Northern Ireland, BT67 9AU.
  • Devibi LLC, a limited liability company formed in Wyoming, USA on 31 August 2026 (Wyoming filing ID 2026-002070175), contracts with and bills clients everywhere else.

The contracting company is named on every proposal, statement of work and invoice. Each company has its own payment accounts and issues its own invoices, so an invoice from one company never shows the other company’s bank details. Please pay the company named on your invoice, using the details on that invoice.

Everything that DEVIBI LTD issued before Devibi LLC was formed, including contracts, invoices and payment records, remains with DEVIBI LTD. Existing agreements are not changed retrospectively. Our About page has more on both companies.

If you are ever asked to pay into bank details that differ from those on your invoice, or that belong to a different company, please check with us on +44 7513 671716 before paying.

2. Before you pay anything

You receive a written proposal or statement of work before we ask for any payment. It sets out:

  • the company you are contracting with
  • the scope, the pages or features included and the deliverables
  • the price and the currency
  • the payment schedule, including any deposit or milestones
  • the timeline, warranty and hosting terms
  • any monthly services, with how they are billed and how they can be cancelled

Estimates shared before that, for example on a call, are indicative and may change as the scope is clarified. Prices shown on our website are a guide. The price you pay is the one in the proposal you accept.

3. Prices and currencies

Amounts and currencies are agreed in advance and shown on your proposal and on every invoice. DEVIBI LTD clients in the United Kingdom and Europe are quoted and billed in pounds sterling (GBP), and Devibi LLC clients in US dollars (USD) by default. Other currencies, such as Australian dollars (AUD) for clients in Australia, can be used by agreement and are always shown on your proposal and invoice.

If you pay from an account held in another currency, your bank or card provider may convert the amount and charge its own conversion fees. Those fees are set by your provider, not by us.

4. Deposits, milestones and retainers

Deposits, milestones and recurring retainers depend on your agreement. Typical arrangements are:

  • Website projects: for example, 50% upfront to start the work and 50% on your approval of the finished site.
  • Larger builds: fixed-price milestones, each invoiced when you approve that milestone.
  • Monthly services such as care plans, SEO, CRO retainers and hosting: billed monthly in advance, or annually where offered, as set out in your agreement.

Your agreement always governs. If it sets a different schedule, that schedule applies.

5. How you can pay

  • Secure payment links, which open a checkout page hosted by the payment processor.
  • Bank transfer to the account of the company named on your invoice.
  • Invoices, which show the payment options available for that invoice.

We do not take payments through a checkout on this website. Payment links and invoices are sent to you directly once your proposal has been accepted.

6. Card payments and security

Card payments may be handled by third-party payment processors such as Stripe and, when approved, Airwallex. The processor collects and processes your card details on its own secure systems. Devibi never sees or stores your full card details.

  • Payment pages are provided by the processor over an encrypted connection.
  • Processors may run fraud and security checks on payments before they are completed.
  • We will never ask you to send card details by email, chat or phone.

Our Privacy Policy explains how we handle the payment information we do receive, such as the amount, date and status of a payment.

7. Taxes, third-party costs and other fees

Prices exclude applicable taxes unless stated. Any tax that applies is shown on your proposal and on your invoice.

Some projects need things bought from other providers. We tell you about these in advance, and they are only incurred with your approval:

  • domain names
  • premium licences, such as themes, plugins, fonts or software subscriptions
  • paid APIs and third-party services, such as AI model usage or email sending
  • hosting bought from a third-party provider
  • advertising spend, which is paid to the ad platforms, such as Google or Meta, and is separate from our fees

Where possible, these accounts are set up in your name so they stay yours. Where we agree to pay a third-party cost on your behalf, it is shown on your invoice. We never add a surcharge for paying by card where the law does not allow it, for example on consumer debit and credit cards in the UK and EU. Any other additional fee is disclosed before you pay, and we do not add charges that were not disclosed in advance.

8. Recurring payments

We only charge recurring payments in line with the billing arrangement you have agreed. Before a recurring service starts, its price, currency, billing frequency, start date and notice period are agreed in writing.

  • We never start a recurring charge, or add a new one, without your agreement.
  • If a recurring price is going to change, we tell you in writing before it applies, and you can cancel under your notice terms instead of paying it.
  • Unless your agreement says otherwise, monthly services run month to month and can be cancelled with 30 days’ written notice. CRO retainers run for an initial three months, then month to month.
  • Charges stop when your notice period ends.

9. Invoices and due dates

Invoices are issued by the company that contracts with you. Each invoice shows the issuing company, what it covers, the amount and currency, any tax that applies, the due date and how to pay. Payment is due within the period stated on the invoice.

Invoices are sent by email to the billing contact you give us, and you can ask for copies at any time.

10. Late payment

If an invoice becomes overdue, we send you a reminder. If it remains unpaid, we may pause work after giving you written notice, which can move the project timeline. Work resumes once the account is up to date.

For business clients contracting with DEVIBI LTD, statutory interest may apply to late payments under the Late Payment of Commercial Debts (Interest) Act 1998.

If you are having difficulty paying, please tell us early so we can try to agree a way forward.

11. Billing questions and errors

If something on an invoice looks wrong, or you have a question about a charge, email [email protected] with the invoice number, ideally before the due date. We reply within one business day.

If we have made a mistake, we correct it promptly by issuing a corrected invoice or a credit note, and we refund any amount you have overpaid.

12. Refunds and cancellations

How cancellations work, and when refunds are due, is set out in our Refund & Cancellation Policy. Refunds are paid by the company that took your payment, in the currency you paid in. How and when work is delivered is covered in our Service Delivery Policy.

13. Changes to this policy and contact

We may update this policy from time to time. The version published at this address, dated above, is the current one. Changes do not apply retrospectively to agreements already made. This policy works alongside our Terms & Conditions and your written agreement.
